Make document processing useful beyond extraction
Intelligent document processing combines text recognition, document classification and information extraction with validation and workflow. The aim is to turn documents such as invoices, forms and correspondence into usable records, while giving people a clear way to review uncertainty and exceptions.
Scorchsoft can build the application and integration around suitable document-processing services: accepting documents, identifying their type, extracting the required fields and routing the result into a controlled business process. This is a custom implementation service. If a packaged product already handles your documents and integrates well with your systems, that may be the simplest route. Bespoke work becomes useful when the workflow, review experience or integration needs go beyond the standard product.

Design the review step before automating the decision
The difficult cases matter as much as the clean examples. An extraction service can misread a value, miss a page or return a plausible answer from an unclear document. A confidence value is useful routing information; it is not a guarantee of correctness.
Define which fields are critical, how they are checked and which exceptions always require a person. A review interface should show the proposed value alongside its source, make corrections traceable and prevent an unapproved record from moving downstream.
For an invoice, checks might compare the supplier against an approved record, reconcile line totals and flag a duplicate reference. Agree the rules with the people responsible for the process. Keep consequential approvals within the agreed human controls.

Agree the review policy and acceptance criteria before expanding the automation.
Map the documents and the outcome
Identify document types, input channels, volumes, variations and the system receiving the result. Agree who owns the workflow and which information is necessary.
Prepare a representative evaluation set
Select authorised samples covering normal cases, unusual layouts, poor scans and known exceptions. Define the correct answers and keep a separate set for final evaluation.
Build extraction, checks and review
Configure suitable OCR or AI services and connect them to deterministic validation rules, a human review queue and an auditable record of changes.
Pilot the complete workflow
Measure field-level accuracy, critical errors, review effort and cost per completed document. Include failures and retries, not just successful examples.
Integrate and monitor
Connect approved outputs to operational systems. Monitor exceptions and processing costs, retest when document layouts or models change, and agree who maintains the workflow.
Connect approved information to the next action
Extraction only saves work if the output can be used. Define a stable data format, map identifiers to the receiving system and decide what happens when an API is unavailable. Use duplicate protection and retry handling so a repeated upload cannot create repeated records or actions.
Keep the original file, extracted values, validation results and reviewer corrections connected according to your retention policy. Access should follow each user's responsibilities. Confirm storage locations, service-provider arrangements and permitted data use before processing live documents.

What to measure before expanding
Agree the expected output for every field that matters and evaluate against documents the system has not been tuned on. Report accuracy by document type and field, not just a single headline score. A wrong payment amount and a missed optional note have different consequences.
Track the proportion of documents routed to review, the time a reviewer spends, the error rate after review and the total cost per completed document. Include extraction charges, storage, integration, support and exception handling. A pilot should show whether the end-to-end workflow improves on the current process.
The agreed deliverables can include document classification and extraction configuration, validation rules, a review interface, integration, an evaluation report and an operating runbook. Your process owner supplies the decision rules and approves the acceptance criteria. We scope the technical work around those requirements.
A useful starting brief includes authorised sample documents, expected monthly volumes, the fields to capture, destination systems and the exceptions that already consume staff time. Timing and cost depend on document variation, quality, review needs and integration complexity.

Practical answers before you commission the work.
OCR recognises text in an image or scan. Intelligent document processing adds steps such as classifying the document, extracting named fields, validating them and routing the result through a workflow. OCR may be one component of the solution; it does not by itself decide whether a record is complete or safe to use.
The achievable automation depends on document quality, variation and the consequences of an error. Start with a defined document family and measure performance on representative samples. Keep a clear review path for unreadable files, unfamiliar formats, missing fields and failed business checks.
We normally assess suitable existing OCR, document extraction or AI services alongside the workflow requirements. The custom work can include the application, validation, review experience and integration. Any need for specialist model work should be identified during discovery rather than assumed.
Where the receiving system provides a suitable interface, approved records can be passed into it. The integration should define field mappings, permissions, duplicate checks and failure handling. High-impact actions may still need explicit human approval.
Map what information is needed, who may access it and which providers process it. Agree storage, retention, deletion and audit requirements before live processing. The technical design should implement your organisation's approved policies; an extraction tool alone does not establish compliance.
Maintain a regression set of representative documents and rerun it when the configuration, service or document mix changes. Monitor critical errors and review rates in operation. Agree ongoing ownership and a support route as part of the handover.
